Nominated for the Dutch Privacy Awards: Foundation for the Certification of Trip Registration Systems

On January 28, the annual Dutch Privacy Awards will be presented during the National Privacy Conference organized by ECP and Privacy First. These awards provide a platform for organizations that view privacy as an opportunity to distinguish themselves positively and that demonstrate how to do business and innovate in a privacy-friendly manner.

The Trip Registration Systems Quality Mark demonstrates how privacy can truly be safeguarded in a complex practice. Some 250,000 business drivers use certified systems that meet the requirements of the tax authorities, while private trips remain visible only to the employee thanks to a "digital safe." The jury appreciates this careful balance between fiscal reliability and privacy, from which car manufacturers and leasing companies can also benefit. That is why the Trip Registration Systems Quality Mark Foundation has been nominated for the Dutch Privacy Awards.

What exactly does your product/service/project do, and what privacy issue does it solve?

The trip registration system (RRS) quality mark is the only independent industry standard for trip registration systems that provides comprehensive trip administration for tax purposes. Privacy is one of the cornerstones of the quality mark. Without clear agreements on location and trip data, the convenience of having everything at your fingertips can quickly turn into unwanted access. It is therefore important to ensure, both technically and organizationally, that trip data is not used against people, but works for them."

What prompted you to develop this?

"Reliable trip administration is the basis for a good tax return. The industry felt the need to jointly establish standards and requirements that a trip registration system would have to meet in order to guarantee that reliability. In collaboration with the Tax and Customs Administration, the industry established the Trip Registration Systems Quality Mark."

What impact has your submission made so far?

"We have, of course, received congratulations from our stakeholders. For us as a foundation, it is a great compliment for how we have safeguarded privacy within the quality mark. For our quality mark holders, it is additional proof to their customers that their quality mark system is well structured."

What privacy challenges have you encountered, and what has your team learned from them?

"When embedding the privacy component in software, it is important that what works well in theory also works in practice. As a certification body, we set principle-based standards. We therefore start from general principles that a quality mark holder must implement. Privacy by design plays a crucial role in this. In this way, you can safeguard the privacy of users in the organization and technology, while the systems continue to do what they were developed for."

What are your plans for the future, and how do you intend to further increase your impact?

The foundation focuses specifically on trip data with its quality mark. A logical development would be to broaden the scope to include vehicle data at home and abroad. At the same time, we see that with the knowledge and experience we have gained, we can also contribute to the public debate on pay-as-you-go. For example, a few years ago, we conducted a successful pilot project in the area of variable additional tax liability, in which quality mark systems were used to allow drivers to pay their additional tax liability per private kilometer driven instead of a fixed amount per month."
